Privacy Policy — Trailhead by Nanki

Last updated: September 1, 2026

1. Introduction

Trailhead by Nanki, operated by Arugula Labs LLC. This Privacy Policy explains how Arugula Labs LLC ("Arugula Labs", "we", "us", or "our") collects, uses, discloses, and protects personal information when you use the Trailhead mobile application and related Nanki platform services made available through Trailhead ("Trailhead", "Service").

Trailhead is designed for authorized lodge, guide, operations, and client users working inside an organization context. By using Trailhead, you agree to the practices described in this policy.

This English version is the authoritative legal text. Translated versions are provided for convenience.

2. Information We Collect

2.1 Information you provide

  • Account and profile information such as your name, email address, phone number, role, organization affiliation, and onboarding details.
  • Authentication credentials and identity data managed through Clerk.
  • Operational content you create in Trailhead, including trip and program records, field reports, chat and operational messages, notes, forms, and other user-generated content visible within your organization.
  • Photos, audio recordings, voice transcriptions, documents, ID scans, receipts, and other attachments you choose to upload or capture in Trailhead.
  • Expense and financial records entered or visible in Trailhead, including receipt images and related account or payout information exposed to authorized users.

2.2 Information collected automatically

  • Device and app information such as device type, operating system, app version, language, and session identifiers.
  • Push notification tokens and device identifiers used to deliver notifications and maintain secure sessions.
  • Usage, diagnostic, and error information, including crash reports and performance logs when error monitoring is enabled.
  • IP address and approximate network information for security and troubleshooting.
  • With your permission, precise foreground and background location while an active Program is running, including timestamps, accuracy, speed, and heading supplied by your device.
  • Motion activity signals used to improve location accuracy during active trips when permitted by your device.

Trailhead does not start route capture solely because location permission is enabled. Precise location capture is tied to an active Program and can be stopped by ending the Program, turning location sharing off inside Trailhead, or changing location permissions in your device settings.

2.3 Private Journal content (provisional description)

Trailhead may offer an optional private Journal feature for eligible client users. Journal notes, voice recordings, transcripts, and private photos are encrypted on your device before synchronization. We store encrypted Journal data and the minimum metadata required to authorize access, synchronize content, enforce quotas, process deletion requests, and maintain service integrity.

We do not design Trailhead to give lodge staff, guides, or Arugula Labs personnel routine access to decrypt Journal content. Final privacy boundaries for Journal content are subject to ongoing data-flow verification and may be updated in this policy if our implementation changes.
